Overview
Service entries let you record structured details about work performed during appointments. Unlike general notes, service entries capture specific data points like measurements, materials used, and observations in a consistent, searchable format.
Service entries are always linked to a specific appointment, making it easy to track what was done during each visit.
Types of service entries
Observations
General notes about what you noticed during the visit:
- Pool condition (“Pool water is crystal clear”)
- Issues found (“Found minor algae buildup in corners”)
- Customer requests (“Customer asked about weekly service”)
- Weather conditions affecting service
- Equipment status notes
Measurements
Track any kind of measurement taken during service:
- Chemical readings (pH, chlorine, alkalinity, etc.)
- Equipment readings
- Temperature measurements
- Any numeric values with units
Each measurement includes:
- Name (what was measured)
- Value (numeric measurement)
- Unit (pH, ppm, °F, etc.)
- Optional notes
Materials
Track materials, chemicals, or supplies used during the visit:
- Chemicals applied (e.g., “Pool shock”, “Muriatic acid”)
- Parts installed (e.g., “Filter cartridge”)
- Supplies consumed
- Amount and unit (lbs, oz, gal, qt)
- Optional notes
Service records
Document maintenance actions or tasks completed:
- Repairs performed
- Equipment checkups
- Parts replaced
- Routine maintenance tasks
Service records help build a comprehensive service history for each property.
Adding service entries
During appointment completion
The best time to add service entries is when completing an appointment:
- Open the appointment and click Complete Appointment
- Enter your completion notes
- Click Parse Notes with AI to automatically extract entries from your notes
- Or click Add Entry to create entries manually
- Review all entries before completing
- Click Complete Appointment to finish
After appointment completion
You can also add service entries after an appointment is completed:
- Open the completed appointment
- Scroll to the Service Entries section
- Click Add Entry
- Select the entry type and fill in the details
- Click Save Entry
Using AI to parse notes
The fastest way to create service entries is using AI:
- Write your notes naturally in the completion notes field
- Click Parse Notes with AI
- The system automatically creates service entries from your text
- Review and edit the parsed entries
- Remove any incorrect entries
- Add any missing entries manually
- Click Complete Appointment
Example note that parses well:
“pH was 7.2, chlorine at 3 ppm. Added 2 lbs shock and replaced the filter cartridge. Pool looked clear, no algae.”
This creates:
- Measurement: pH = 7.2
- Measurement: Chlorine = 3 ppm
- Material: Shock = 2 lbs
- Material: Filter cartridge
- Observation: “Pool looked clear, no algae”
- Service Record: “Replaced the filter cartridge”
Adding entries manually
To add a service entry manually:
- Click Add Entry during completion or on a completed appointment
- Choose the entry type (Observation, Measurement, Material, or Service Record)
- Fill in the required fields based on the type
- Add optional notes for context
- Click Save Entry
Observation fields
- Notes (required) - Description of what you observed
Measurement fields
- Name (required) - What was measured (e.g., “pH”, “Chlorine”)
- Value (required) - The numeric value
- Unit (required) - Unit of measurement (e.g., “pH”, “ppm”)
- Notes (optional) - Additional context
Material fields
- Name (required) - Product or material name
- Amount (required) - How much was used
- Unit (required) - Unit (lbs, oz, gal, qt, etc.)
- Notes (optional) - Why it was used or where it was applied
Service record fields
- Description (required) - What work was performed
- Notes (optional) - Additional details
Editing service entries
To edit an existing service entry:
- Open the completed appointment
- Find the entry in the Service Entries section
- Click the edit icon (pencil)
- Update the information
- Click Save
You can change the entry type (e.g., from Observation to Material) when editing.
Deleting service entries
To remove a service entry:
- Open the completed appointment
- Find the entry in the Service Entries section
- Click the delete icon (trash)
- Confirm the deletion
Deleted service entries cannot be recovered. Only delete entries that are incorrect or entered by mistake.
Viewing service entries
Service entries appear in multiple places:
On completed appointments
Open any completed appointment to see all service entries for that visit.
On customer pages
The customer detail page shows all service entries across all properties and services for that customer, ordered by most recent first.
On property pages
The property detail page shows all service entries for that specific property across all services.
Searching service entries
On customer and property pages, you can search through service entries:
- Find the Service Entries section
- Use the search box to filter by:
- Entry notes or descriptions
- Service name
- Measurement names
- Material names
- Any text in the entries
The search updates in real-time as you type.
Best practices
Be consistent: Use the same terminology and units across entries. For example, always use “pH” (not “ph” or “PH”) and “ppm” for chlorine readings. This makes historical data easier to review.
Use AI parsing: Write natural notes and let AI create the entries. It’s much faster than manual entry and reduces data entry errors.
Record measurements before and after: For chemical readings, note values before and after adjustments to track changes and validate your work.
Document issues: Use observations to record problems found, even minor ones. This helps identify recurring issues and demonstrates thoroughness.
Track all materials: Record everything used, not just chemicals. This helps with inventory management and can support billing for materials.
Review before completing: Check parsed entries for accuracy before clicking Complete. AI is good but not perfect - always verify the extracted data.
Be specific with service records: Instead of “Fixed pump”, write “Replaced impeller seal on main circulation pump”. Specific details help with warranty tracking and future troubleshooting.
Service entries vs. notes
Service entries are for structured, searchable data:
- Measurements and readings
- Materials and chemicals used
- Specific observations about service
- Maintenance tasks performed
Notes are for unstructured information:
- General customer preferences
- Access instructions
- Before/after photos
- Long-form documentation
