Overview

Route planning helps you minimize driving time and fuel costs by finding the most efficient order to visit customers. Probase includes both manual and automatic route optimization features.

Optimization options

Probase offers multiple ways to optimize routes: Manual Reordering:
  • Reorder Stops - Drag appointments into any order you choose from the calendar’s Today or Week view. Great for quick, hands-on adjustments. See Reordering stops.
Automatic Optimization:
  • Single Crew - Let ProBase calculate the most efficient order for one crew at a time (best for quick adjustments)
  • Fleet Optimization - Optimize routes across all crews simultaneously (best for daily planning and load balancing)
Background Optimization:
  • Enable in team settings to automatically optimize routes when appointments are created or assigned
  • Saves time by eliminating manual optimization steps
  • Routes update in the background whenever scheduling changes occur

When to optimize

Use automatic optimization:
  • When you want routes updated automatically as you schedule
  • To save time on daily route planning
  • When crews have consistent schedules with multiple appointments
Use fleet optimization:
  • At the start of each day to plan all crew routes
  • When you have unassigned appointments to distribute
  • When you need to balance workload across crews
  • When redistributing work between crews
Use single crew optimization:
  • After adding one or two appointments to a crew’s schedule
  • When making quick adjustments to one crew
  • After rescheduling appointments for a specific crew
  • When you want to review optimization results before applying
Use manual stop reordering:
  • When you want to hand-pick the exact order
  • For quick, last-minute adjustments from the calendar
  • When you know the area better than the optimizer

Requirements

To use route optimization:
  • Crews must have start and end locations configured
  • Properties must have valid addresses (geocoded)
  • At least 2 appointments must be assigned to the crew for the date

How optimization works

The route optimizer:
  1. Starts at the crew’s depot location
  2. Calculates the shortest path to visit all appointments
  3. Returns to the depot at the end of the day
  4. Provides scheduled arrival and departure times
  5. Shows drive time between each stop
The system uses real road networks and traffic patterns to calculate realistic drive times.

After optimization

Once you’ve optimized a route:
  1. Review the suggested order and times
  2. Click Apply Changes to save the schedule
  3. Crew members can follow the optimized schedule throughout the day
The optimized appointment times are saved in the system and appear in the calendar.
